Payment, shipping and other information

Do you have a VAT number? Then request a login in advance by sending an email to ives@vanmeenen.com or sending a message via WhatsApp to +32474335656. An invoice will be automatically generated after your order. If you have a VAT number from another country in the European Union, you can order without VAT using your login. You can also order without VAT using your login for export outside the EU.

We ship worldwide. If the country of your choice is not available when placing your order, please send your order by email or WhatsApp to ives@vanmeenen.com or +32474335656. I will then send you a quote with the correct shipping costs. Shipping costs depend on the weight and destination country and are automatically calculated after you have entered your location.

Shipping costs are automatically calculated on the webshop based on weight and volume.

After shipment, you will receive a confirmation by email with the tracking number. You will then have the opportunity to adjust the delivery and have the package delivered to a different location or to a Parcelshop.

DPD Parcel Shop with 5 euro discount and payment by bank transfer:

We can also ship your order to a DPD Parcel Shop. In that case, we can give you a 5 euro discount on shipping costs for packages up to 20 kg. You can find the DPD Parcel Shops on the DPD website: https://www.dpdgroup.com/nl/mydpd/parcel-shops/search.

When placing your order on our webshop, enter the address of the DPD Parcel Shop under "DELIVERY ADDRESS" and enter "DPD Parcel Shop + the name of the parcel shop" under name.

Under delivery method, choose "STANDARD DELIVERY". To take advantage of the 5 euro discount, choose payment by bank transfer. You may deduct the amount of 5 euros from the total price including VAT. We will send the order as soon as we have received the payment.

Shipping and Delivery Times

We ship daily with reliable carriers such as GLS, UPS and Fedex. When placing your order, you can choose between standard or express delivery.

Standard delivery

Within Belgium, the Netherlands and Luxembourg, delivery usually takes place the next business day. For other European countries, delivery typically takes 2 to 4 business days. For shipments outside Europe, standard delivery times are approximately 3 to 5 business days for the United States and Canada, 4 to 6 business days for China and Thailand, and 4 to 7 business days for South America and Australia. These delivery times depend on the destination and possible customs clearance. Standard delivery times are indicative and not guaranteed.

Express delivery

When finalizing your order, you can select express shipping. Express deliveries within Europe usually arrive the next business day before noon, except for remote areas. For the United States and Canada, delivery takes 1 to 2 business days, for China and Thailand 1 to 3 business days, and for South America and Australia 2 to 5 business days.

Urgent shipment?

If your order is placed before 2 PM, it is usually shipped the same day. For very urgent orders after 2 PM, please contact us by phone after placing your online order. We will check if same-day dispatch is still possible.

Customer satisfaction is very important to us. But sometimes we make mistakes, which can make you the victim. That should of course not happen. That is why we are happy to solve your complaint. Pricing Policy and Repair Conditions: Please note that the prices displayed on our online shop specifically apply to DIYers, i.e., customers who purchase parts for self-assembly. Different rates may apply for assemblies performed at our Eeklo workshop.

For repairs or new installations in Eeklo, we agree on the total price for the work with the customer in advance. This is a flat total price, which includes all costs, regardless of the duration of the repair. Any risks related to a longer duration of the repair than originally planned are incorporated into this price and are borne by us.

Right of withdrawal: you can terminate an agreement relating to the purchase of a product during a cooling-off period of at least 14 days without giving reasons. The entrepreneur may ask you for the reason for the withdrawal, but you are not obliged to give it. The cooling-off period starts on the day after you receive the delivery. You can return or send the product back to us. The shipping costs for the return are at your own expense.

Dispute resolution: If you are not satisfied with the handling of your complaint, you can submit it to the Consumer Ombudsman's Service (see https://consumerombudsman.be/en). You can also submit your complaint to the Dispute Resolution Board via the European ODR Platform (https://ec.europa.eu/consumers/odr/).

Who we are
This privacy statement applies to the webshop shop.vanmeenen.com, operated by LPG Techniek Van Meenen, Peperstraat 1, 9900 Eeklo, Belgium. You can contact us at ives@vanmeenen.com or by phone at +32 9 378 68 23. We highly value the protection of your personal data and process it in accordance with the General Data Protection Regulation (GDPR) and Belgian legislation.

Data we process and why
We process personal data you provide when placing an order, creating an account, or contacting us by e-mail, phone, or WhatsApp. This may include your name, address, phone number, e-mail address, order and payment details, and – if relevant – vehicle information. We process this data to execute your order, invoice, deliver, and comply with legal obligations such as the retention requirement for LPG installation records. We also process data to assist you with inquiries and for warranty and service purposes.

Retention periods
We store your personal data only as long as necessary for the purposes for which it was collected or as long as required by law. LPG installation records are kept until the vehicle is decommissioned, with a maximum of ten years. Invoices and accounting records are kept for seven years. E-mails and other electronic communication are kept for a maximum of six months, unless their content is relevant to an ongoing file. Copies of your ID card and driver’s license for the use of a replacement vehicle are kept for up to six months after return, or longer if there is an ongoing damage or fine case. After these periods, data is deleted or anonymised.

Cookies
Our webshop uses only functional cookies that are necessary for proper site operation. These include the ASP.NET_SessionId cookie, which stores session data during your visit and is deleted when you close your browser, and the customerId cookie, which stores your customer ID for 21 days to support the checkout process. We do not use analytical or marketing cookies.

Sharing data
Your personal data is shared with third parties only when necessary to provide our services or to comply with legal obligations. This includes payment processors, shipping companies, suppliers, and public authorities.

Security
We take appropriate technical and organisational measures to protect your data against unauthorised access, loss, or misuse. Access to personal data is limited to authorised employees who need it to perform their duties.

Your rights
You have the right to access, correct, delete, or restrict the processing of your personal data. You can also object to processing or request data portability. You can exercise these rights by contacting us at ives@vanmeenen.com. If you believe your data is being processed unlawfully, you have the right to lodge a complaint with the Data Protection Authority.
